A standard template is saved wording with merge fields. A branded email is a structured visual template where you choose the represented agent and whether to show the reusable account logo, that agent’s profile photo, and contact details. The represented agent can differ from the creator, editor, mailbox sender, or Campaign owner.

Steps
- Step 1: Open Settings › Templates and create a template. Choose its category (email, general, or text) and write the subject and body.
- Step 2: Insert merge fields where you want contact or account values filled in. Only the allowed merge fields resolve.
- Step 3: Save the template. Filter the list by category to find it later; disable a template you no longer want offered without losing its history.
- Step 4: From a contact, pick the template to preview the merged content before you send.
- Step 5: For a branded email, choose its design and represented agent, then review the logo, profile photo, contact details, accent, and disclosures in Preview.
Tip: Keep one clear template per situation (first touch, showing follow-up, price change) rather than many near-duplicates.
Tip: Text templates are stored for reuse, but NextAccord does not send SMS — there is no text-send flow.
Tip: A new direct or Campaign email delivery resolves the current identity. Once that delivery is frozen, retrying the same logical delivery keeps the same content and image versions.
Common problems
- A merge field shows as raw text in the preview.
- It is not on the allowed merge-field list, or it is misspelled. Use the fields offered by the editor.
- An agent cannot edit a template.
- Creating and editing shared templates is limited to owners and admins. Agents and assistants use templates but do not manage them.
Good to know
- Changing a profile photo or account logo affects later new sends, not an already-frozen send.
- Brokerage-required branding or compliance disclosures may override customer preferences.
