Notes to Actions turns meeting or call notes and bounded Contact context into suggested tasks, reminders, next follow-ups, notes, contact/preferences updates, supported transaction details, or email/text drafts. AI suggests; you review and edit; the approved action is applied after you accept it. Nothing runs automatically. Email drafts open in your email app; text drafts are saved as preparation notes. Neither is sent automatically. Transaction stages, closing, cancellation, and other lifecycle changes stay under normal transaction controls.
Before you start
- AI Assistance is enabled and usage is available.
- Open the contact the notes belong to. Your permissions still determine which actions you can apply.
Steps
- Step 1: Open AI Notes to Actions on the contact, paste meeting or call notes, and choose Analyze Notes.
- Step 2: Read each suggested action, its reason, and its preview. Check contact details, dates, wording, and any transaction link against what was actually agreed.
- Step 3: Edit the supported fields where needed. Dismiss suggestions you do not want.
- Step 4: Accept each action you want applied. Each accepted action is applied separately; review its result before moving on.
- Step 5: For an email draft, finish reviewing in your email app and choose Send yourself. A text draft is preparation recorded as a note; use your normal communication tool to send it.
Tip: Tasks, reminders, and scheduled follow-ups can include a due date and an optional transaction link. Contact updates can cover details, preferences, notes, and next-follow-up timing.
Tip: Supported transaction updates cover details such as title, address, price, and expected close date. Use the transaction workspace for stages and lifecycle changes.
Tip: Recent supported property-interest activity may enrich a suggestion. Saves do not establish confirmed preferences, readiness, financial qualification, or a commitment; review against your conversation.
Important: Generating suggestions does not change the CRM. Only accepted, supported actions are applied; AI does not have unrestricted access to change records.
Important: Acceptance never sends an email or text message automatically.
Common problems
- An accepted action could not be applied.
- Read the action error and check the required details, permissions, or transaction link. Other accepted actions are independent; do not assume all suggestions succeeded.
- An email draft cannot be prepared.
- Add an email address to the contact, then review the draft again.
