Set up where your leads come from

Pick the source that matches how leads reach you today. You can use more than one. Everything a source captures shows up in Lead Review for you to accept or reject.

Who can do this

Manage lead sources (routing email, website/form sources, approved domains)

  • Owners and Admins — can do this for any record or setting in the account.
  • Agents and Assistants — cannot do this.

Manage the email lead rules used by connected mailbox review

  • Owners and Admins — can do this for any record or setting in the account.
  • Agents and Assistants — cannot do this.

Before you start

  • Your role can manage lead capture (Owner or Admin).
  • Lead capture is included in your plan.

Steps

  1. Step 1: Routing email: open Lead Capture settings and copy the routing address. In your portal or lead provider, forward lead-notification emails to it.Best when a third party already emails you about new leads.
  2. Step 2: Connected mailbox review: connect a Gmail or Outlook mailbox, then add an email lead rule describing which messages are leads.Rules apply to connected mailboxes only.
  3. Step 3: Website / form sources: create a source, then post your site or landing-page form to the address it gives you. Add each site you trust to the approved website domains list.Website/form sources do not use email lead rules.
  4. Step 4: Send yourself a test lead through the source and confirm it appears in Lead Review.

What success looks like

  • A test lead sent through the source appears in Lead Review with the right details.
  • For website/form sources, the sending site is on the approved domains list.
Tip: Start with only the sites you actually use in approved domains, then add more as needed.

Common problems

Forwarded emails are not becoming leads.
Confirm you are forwarding to the routing address exactly, and that the forwarded message still contains the original lead details.
Form submissions are rejected.
The sending domain is probably not on the approved website domains list. Add it, then submit the form again.
